Introduction
This article is meant to help you connect to your database once it has been moved from a locally hosted version to a cloud hosted version. This most commonly occurs when you have updated your license from one of our legacy license plans to our current license plans, all of which include a cloud hosted Sumac database.
You are probably reading this article after your have been in touch with our implementation team who have taken a backup of your database and uploaded it to our cloud servers. Then they have asked you to follow the instructions in this article to make sure you are connecting to your new cloud hosted database instead of your local database.
Please make sure EVERY USER of your Sumac database reads this article and follows the instructions for EVERY COMPUTER that was accessing the locally hosted version, as it will explain how to disconnect from your locally hosted database and check that you are connected to the cloud database after you have followed the steps to do so. If you do not do so, it will lead to some users entering data into two different databases which will lead to many issues.
Step 1: Back up and then remove your local database
This step only applies to you if you are attempting to connect to your
new cloud database from a computer that you were previously accessing
the local version from.
Step 1a: Back up your locally hosted database (optional)
Log in to Sumac as you normally would and click on "Utilities" > "Sumac Administration" > "Backup and Archive"
Then choose where you could like to save this backup. Sumac will automatically suggest a name for the backup and we recommend that you do not change it.
Then click OK on the above window and Sumac will let you know when the backup has been successfully saved.
Step 1b: Find and delete the databases.txt file
Using the search function of your computer, find the databases.txt file located in the SumacSettings folder and delete it.
Windows
On a windows 10 computer, it looks something like this.
- Type "Databases.txt" into your search field
- Confirm that the file is located in a folder called "SumacSettings"
- Open the folder that contains the file
- Right-click on the Databases.txt file and click "Delete"
Step 2: Connect to your cloud database
This would have been sent to you in an email. You will need:
- Organization name OR Organization ID as it is listed in our internal systems
- A temporary username and password
Step 2b: Log into Sumac
Open Sumac as you normally would and when you do you should see the screen below. Enter the information from the previous step and click LOGIN.
Step 2c: Confirm that you are logged into your cloud database
Before you begin entering information into the database you will want to confirm that you have logged into the cloud version. To do so:
- Click on "Utilities" > "License Information" > "Show Configuration"
- In the window that opens up, look at the "Database Server" row. It should say "cloud.sumac.com".
- Click OK
If you see cloud.sumac.com then you can click OK and begin entering data and using Sumac as per usual.
If you do not see cloud.sumac.com in the "Database Server" row, as shown above, please review step 2a and make sure you complete it or reach out to our support team.
