Searching in list using multiple search criteria

Searching Donations

On the Sumac Dashboard, expand Fundraising and click Donations.
 

The search area always appears at the top of a list.

The Search Type menu in the Donations list holds search criteria that relate to donations, such as when donations were received, the donor's name, donation type, or campaign. 



If we want to find donations that were made last week, we search by the When Received date field.

You can either specify each date or use the drop-down menu to choose the time period you're interested in such as Last Week. If you choose Last Week, Sumac fills in the dates of last week.  Click Search, and Sumac finds all the donations received last week! 



Searching with Multiple Criteria

Example 1

In this example we'll search for all donations made in the last month to a certain campaign. In this example, we're looking for a list of donations that match two different criteria: one criterion for donations made in the last month, and another criterion for donations made to a specific campaign. 


First, specify the date range search criterion. For this example, choose a time period of Last Month. 

Next, add another criterion to specify the campaign. To add a second criterion, click the Plus sign. 


Sumac adds a second criterion for this search. Notice that you must also specify the connection between these two criteria. The options are “And,” or “Or.”  Selecting And means a record must match both criteria to be included; selecting Or means a record must match one or the other of the criteria selected. 




For this example, I'll choose to use an “And” connector because in our example we want to find the donations made during the last month AND to a specific campaign.

Next, choose Search Type: Campaign and its Children and select Annual Campaign. 

Click Search, and Sumac finds all the donations in the database that match this time period and the specified campaign. 




Example 2

In this example, we'll find donations in the last quarter for an education fund or that were made for an event. We'll build our search based on three basic criteria: the education fund, an event, and timeframe. 

In order for this search to work, the fund and event must have been added to each donation.

First, let's set our criterion to find donations made to the event. Choose the Search Type: Event, then click Choose Event to select the event you want to include.



Next, specify the date range. Choose the Search Type: When Received, then set the date range "last quarter." Since we want donations either to the fund OR to the event, change the AND to an OR. 

Remember to click the Plus button to add additional criterion. 

Now add a criterion to find donations made to the Education Fund. Choose the Search Type: Fund, then choose the Education Fund. Again specify the date range of interest. 

Now there are 4 search criteria.

Sumac performs AND operations before it performs OR operations, so the first two are grouped together and performed to find donations to an event in a date range. Then the next two search criteria are performed to find donations to a fund in a date range. Then they are all combined together with the OR operator.

Click Search and Sumac finds all the donations that match the criteria specified.



For this example, we'll perform a common search to run in the Memberships list - searching for memberships that are going to expire soon and haven't renewed their membership yet. 

On the Sumac Dashboard, click Memberships to open the console.



First, select the Search Type: Expiring in Date Range. Then choose the date range you are interested in.


There is a check box here labeled “Not yet renewed.” This check box tells Sumac to find only memberships that meet the above criterion and have not yet been renewed. Click Search, and Sumac finds all the membership records that will expire in specified time period that have not yet renewed.



The same basic approach to searching is applicable in every list area of Sumac.
