What’s new

It’s Now Easier to Remove Duplicates

In this release, we’ve made several deduplicate enhancements making it much easier to detect and remove duplicate contact records from your Sumac database. This means:

  1. Better data accuracy: Duplicate records in your database are harmful to the overall quality of data. With this enhancement, you can easily remove duplicates and improve the quality of your data, which will lead to better reporting and decision-making.
  2. Save time: Manually searching for and removing duplicate records is time-consuming. This enhancement includes robust technology to help identify and clean up duplicates, saving you time and money. 
  3. Reduce Errors: Having duplicate contact records leads to errors. With this enhancement, you can quickly clean up duplicates, so you know you’re accessing accurate donor, client, member, and volunteer information - no more confusion or errors.

The deduplicate enhancements in this release include:

Updated Deduplicate Interface

We updated the interface for reviewing duplicates to make identifying duplicates easier. Now you can review a list containing two or more contacts that are suspected to be duplicates, rather than searching for duplicates letter by letter!



From this screen, you can choose to:
  1. Review each instance of suspected duplicates
  2. Ignore the contacts who are suspected as duplicates
  3. Or select, and then merge the suspected duplicates




If you would like to review suspected duplicates, you will be taken to a screen that will let you see a side-by-side comparison of the details of the suspected duplicates. You can also choose to manually update a specific field with an updated value if needed.

Suspected duplicates that are ignored will be remembered by the database and will be excluded from future results.

Automated Duplicate Detection

This release includes robust technology that automatically detects when suspected duplicates exist in your database. When duplicates are detected, they will be shown in your dashboard, so you can take action.



This detection runs intermittently in Sumac. Your Sumac Administrator can also manually trigger the system to start a full scan for duplicates by going to Utilities > Sumac Administration > Suspected Duplicates Full Scan.



Improved Deduplicate Search Logic

We also enhanced the logic Sumac uses to identify suspected duplicates. Sumac can now more accurately determine if contact records might be duplicates by reviewing:
  1. Contact Last Names
  2. Contact First Names
  3. City
  4. All entered phone numbers
  5. All entered emails
  6. Organization Name

The search logic is smart enough to consider one letter differences to account for typos, as well as the first two-character matches in names to account for nicknames.

PCI Compliance update: Support For Bambora Security Tokens

Over the last few releases, we’ve introduced updates related to PCI compliance, including updating our integration with IATS and Stripe to use security tokens instead of the legacy method of encrypting and storing credit card information.

In this release, we added Bambora to this list of payment processors with updated integration using security tokens.

Notable Bug Fix

Issues viewing GYO (Custom/Case Management) Records: Some of our customers have had difficulties viewing new and historical GYO records. This issue was observed by a few customers - and for those who have experienced it, the issue does not seem to occur in all of their GYO modules.
