There are different types of templates in Sumac, and how you edit them depends on the template type.
Email body templates (HTML) can be edited directly using the Template Editor in Sumac.
PDF receipt templates must be created or modified using LibreOffice, then exported to PDF before being uploaded to Sumac.
Print templates can be created and edited using Microsoft Word.
Important: Do not use Microsoft Word to create or modify a PDF receipt template and then save or export it as a PDF. PDF receipt templates used by Sumac must be created and modified in LibreOffice.
Open the original receipt template file using LibreOffice.
Make the required changes to the receipt, such as:
Updating organization information
Changing text or wording
Adjusting formatting or layout
Adding or removing images or logos
Updating merge fields
Be careful when changing merge fields. These fields tell Sumac where to place information from your database when it generates the receipt.
Once you have finished making your changes:
Review the document in LibreOffice and confirm that the layout is correct.
Export the document to PDF format using the Export As option.
Save the new PDF somewhere you can easily locate it.
Do not simply rename the file extension to .pdf. Use LibreOffice's PDF export functionality.
In Sumac:
Open Utilities.
Go to Customize Database.
Open Templates and Template Editor.
Locate the existing receipt template.
Upload the newly exported PDF template file.
Save your changes.
Although PDF receipt templates appear in the Templates and Template Editor area, their contents cannot be edited there. This area is used to manage and upload the template file.
Before using the updated template for your regular receipt process, generate a test receipt.
Confirm that:
The organization information is correct.
Logos and other images display properly.
Merge fields populate with the expected information.
Dates and amounts appear correctly.
Text is positioned correctly.
Nothing is cut off or shifted on the page.
If the receipt does not appear as expected, return to the original file in LibreOffice, make the necessary changes, export it to PDF again, and upload the revised PDF to Sumac.
If you select a receipt template in Templates and Template Editor and the editing option is unavailable or greyed out, this does not necessarily indicate a problem.
The built-in Template Editor is designed to edit supported HTML templates, such as email body templates. It does not provide an editor for PDF receipt templates.
For a PDF receipt template, the process is:
Locate the original .odt file → Edit in LibreOffice → Export to PDF → Upload to Sumac → Test
Use the appropriate application for the type of template you are modifying:
| Template Type | Application |
|---|---|
| Email body/HTML template | Template Editor in Sumac |
| PDF receipt template | LibreOffice |
| Print template | Microsoft Word |
