How to Clear Record Locks

In Sumac, record locking is a built-in safety feature that prevents data conflicts in a multi-user environment. When a user opens a record (such as a Contact record) for editing—or in some cases for viewing that may lead to editing—the system temporarily "locks" that record. This means no other user can make changes to it until the first user saves their work and closes the record dialog, at which point the lock is automatically released.

To resolve the locked record, navigate to Utilities > Sumac Administration > Unlock Records.
Select the records you want to unlock, then click the Unlock button.

Please note: Unlocking records is limited to user profiles with administrator access. If you do not have administrative rights, please contact your Sumac administrator to request that they unlock these records on your behalf.

If you are noticing an increase in locked records, one possible explanation is that two instances of Sumac are running simultaneously on the same machine. This can happen if the application is launched more than once, causing the system to detect an "open" session still active and keep the lock even after one instance is closed. To prevent similar situations in the future, we recommend ensuring that only one instance of Sumac is open on each computer at any given time.
